Commitment

The Rowville Knights Community Football Club is committed to protecting the Personal Information (PI) of players and members.

The Rowville Knights Community Football Club is bound by the Australian Privacy Principles (APPs).

Definitions

In this Policy –

“AFL” means the Australian Football League.

“Club” means the Rowville Knights Community Football Club.

“Platform” means the online registration and participation management platform being ‘Gameday’ for junior football registration and ‘PlayHQ’ for Auskick registration.

“League” means the Eastern Football and Netball League.

“Participant” includes a player, director, officer, employee, volunteer to and agent of a Football Club that participates in the League.

“Personal Information (PI)” means the information that could identify an individual. PI may include information such as an individual’s name, address, phone number or date of birth.

Policy Statement

Collection of Personal Information

When registering as a Participant with the Club, it is necessary to provide sufficient information to the Club and the League to register participants as a member of the Club and the League.

The information is collected in the Platform and is set out on the registration form, which includes, for example, your name, address, date of birth, gender and playing history.

This information is collected to process participants’ registrations. If participants do not provide us with part or all this information, their registration application may be delayed or refused. The vast majority of details collected are mandatory fields required by the League or AFL.

Use and Disclosure of Participants’ Personal Information

The Club collects participants’ Personal Information for the primary purpose of maintaining an accurate and up to date database of all players and volunteers registered to participate for the Club in competitions organised by the League.

  1. The Club may disclose your personal information without seeking your consent in the following circumstances:
  • If we are required to do so by law;
  • If we believe it is necessary to do so to provide you with a service you have requested;
  • To implement our Club Constitution, By-Laws, codes or policies;
  • To protect the rights and property of the League, any club affiliated with the League, any member of the League, or a member of the public; or
  • To lessen a serious and imminent threat to a person’s life, health or safety or a serious threat to public health or public safety.
  1. Additionally, we may disclose participants’ Personal Information, with the participant’s consent, in the following circumstances:
  • We may disclose Personal Information to other leagues;
  • We may disclose Personal Information to Football Victoria;
  • We may disclose Personal Information to Scoresby Football Netball Club;
  • We may notify Participants of events and information which we consider, in good faith, potentially of value to the Participants; or
  • We may notify you of changes to our Club Constitution, By-Laws, codes or policies.

For the purposes of point 2 above, we assume that Participants consent to such disclosure, unless a Participant advises us that they wish to withdraw their consent in the manner set out below. A Participant may withdraw their consent at any time by emailing us at admin@rowvilleknights.org.au, providing us with sufficient information to allow us to identify them and notify us that they withdraw their consent to such disclosure. Please allow ten (10) business days for your request to be processed.

A withdrawal of consent will not prejudice a Participant’s membership of the Club.

Please note that in the above situations, we will ensure that such use and/or disclosure is strictly for the purposes set out above. We also advise that any Participants withdrawing consent should also review the League Privacy Policy as a separate withdrawal of consent may be required.

Storage and Security of Personal Information

The Club will take all reasonable steps to secure and keep secure Personal Information, and to ensure that Personal Information is accurate and up to date.

Further, the Club requires its committee and volunteers to maintain the confidentiality of any Personal Information disclosed to them while carrying out their tasks.

Access to Personal Information is restricted to committee and volunteers requiring access to carry out their tasks such as the executive committee, football operations, registrar(s), coaches and team managers.

Participants’ Access to their Personal Information

Participants (or their parent/guardian) may request access to their personal information that the Club holds.

Subject to the following exceptions, we will endeavour to grant any request within ten (10) business days, or as soon as possible thereafter.

The Club reserves the right to deny a request for access to Personal Information for the reasons listed in the Australian Privacy Principle 12 (Access to Personal Information), including the following:

  • Providing access would pose a serious and imminent threat to the life or health of any individual;
  • Providing access would have an unreasonable impact upon the privacy of other individuals;
  • The request for access is frivolous or vexatious;
  • Providing access would be unlawful;
  • Denying access is required or authorised by or under law;
  • Providing access would be likely to prejudice an investigation of possible unlawful activity; or
  • Providing access would be likely to prejudice the prevention, detection, investigation, prosecution or punishment of criminal offences, breaches of a law imposing a penalty or sanction, or breached of prescribed law by or on behalf of an enforcement body.

We will take all reasonable steps to protect the privacy of your information. However, if you become aware that your personal information has been used or disclosed in a manner that does not comply with the terms of this privacy policy and without your consent, please email us at admin@rowvilleknights.org.au and we will respond to your query or complaint as soon as possible.

Policy Review

This policy was reviewed and approved by the Rowville Knights Community Football Club Executive Committee in January 2022. This policy is reviewed tri-annually to ensure it remains relevant to club operations and reflects both community and legal requirements.

Next policy review date is January 2025.
